- Click on the EMR Grading Icon on your desktop to open the system
- Choose the second icon on the home page
- You must register for the first time use. Click on the “New user register here” link
- On the registration page, begin entering your information
- Your username should be your clinic ID # (i.e. 0110, 2797)
- Your password can be anything that is easy for you to remember, but must be 6-10 characters
- Your email address must be your SUNY email address (i. e. xxxxx@sunyopt.edu)
- Please select a security question and choose an answer for that selected question. Make sure your answer is memorable for you but hard for others to guess. When you forget your password, you can use that answer to retrieve your old password and get a new password.
- Click on “Submit” button and you are successfully registered
- Enter your Clinic ID # and the password selected when registering and click the “Login” button at the bottom
- If it is the first time you log in, a greeting message will show up. Please make sure the name on the screen is correct. Click the “Go” button to get started.
- You will come to a page listing all the exams need grading. Each list includes the medical record number, student clinic ID # and exam date. Clicking on the “Submit Grades” link on the right to start grading.
- On the grade sheet, the student name is highlighted with blue color. General encounter information is displayed on the top of the form. If you think there’s no need for the grade because the student is identified as a resident student, you can click the “Grade Not Required” button and the selected encounter record will be deleted from your grading list instantly.
- If a grade is required, please fill in all fields by checking the radio buttons next to each category. You may want to refer to the grading criteria by opening the two link of “Table of Intern Clinical Expected” and “Expected Levels by Subjects” . If a note was added by the student, it will show up in the “comment” field in the format of “(Student Notes: XXXX)”. You can reply or make comments in that text field. Please verify the grades before submitting. Grades cannot be modified unless authorized by administrator.
- Once a grade is submitted, you will get a confirmation message on the following page. Click the “Back to Home” button on the bottom, and you will see the exam you just graded has been deleted from your list.
- The grading list on your main page is set to sort by Exam Date with the most recent date listing on the top. If an exam has not been graded within one week, a flashing flag symbol will show up to remind you that you need to get the grades done ASAP.
- If you prefer, you can have your grading list sort by student clinic ID # by clicking the “Sort by Intern” button. And you can switch to the default setting by clicking on the other “Sort by Date” button.
- In the second section, you can view all the grades you have completed for your students. Select sort by Exam Date, by MRN # or by Intern ID #, and hit “Go” button, you will get a full list of all the student grades done by you. To view the details of the grades and general encounter information, clicking on the “view” link on the right side of the table.
- Please always use the “Back” button on the bottom to go back to your main page.
- In the third section, the search function allows you to narrow the grades you want to view. It allows you to search by medical record number, student clinic ID #, or by date.
- To search by medical record number, just enter the MRN # and click “Search by MRN#” button. Only the records for that patient will come up as search results.
- To search by student clinic ID number, enter the Intern ID and click “Search by Intern ID”. Only the records for that student will come up in the next page.
- To search for a particular day, or if you are not sure of the exam date, try entering a date range. Enter a start and end exam date. The wider the range, the more results it will return. Dates can be input in only one way, i.e.yyyymmdd, no hyphen or slash. Keep in mind that if you enter a date when there is no exam, your search will not be successful.
- If a grade change is needed, you must send a request to the facilitators, Dr. Leon Nehmad, Dr. Marie Bodack, or Dr. Patricia Modica, via email with the student clinic ID #, exam date, MRN # and the new grades included.
- If you forget your password and have problem logging in, go to the home page. Click on the “Forgot your password?” link. On the following pages, you need to confirm your identity and you can create a new password by providing a correct answer of your selected security question.
- Make sure to log out every time when you finish grading by clicking the “Logout” button at the bottom of your main page. And then close your window to ensure that others cannot view your page.
